Coordinator, Scenic Design, Props, & Decor Procurement

RWS Entertainment Group is currently seeking a Coordinator of Scenic Design, Props, and Decor Procurement to Procure, create, and maintain props and scenery for RWS Clients. The Coordinator of Scenic Design, Props, and Decor Procurement will work with the Senior Manager, Props & Scenic Operations to acquire, maintain and distribute scenic and prop elements for RWS Experiences and Productions. Ensure all props and scenery for all shows, events or installations adhere to the creative team’s vision while maintaining the projects budget. The coordinator will also help maintain these items with documentation, repair and replacement procedures and in house maintenance, so all cast members are set up for success. This includes helping maintain all stock items in both storage and rehearsal studios.

Role & Responsibilities

  • Assist in the creation/ procurement of both rehearsal and show-ready props for all workshops and in-house rehearsals.
  • Assist in the creation/ procurement of decor and decorative elements for product based experiences.
  • Attend creative meetings as needed to ensure accurate procurement of project needs.
  • Maintain digital inventories for all stock scenery, props. This includes documentation for all projects pertaining to the props and scenic elements.
  • Manage projects effectively within a given budget.
  • Coordinate the bidding process for vendors, suppliers, scenic and prop shops from RFP creation through project completion.
  • Assist in the creation and distribution of a guide for all decor and props which details care, maintenance, and other important prop-related information to communicate to the client.

  • Coordinate shipping out of props, scenic elements, decor, graphic elements, road kits and install supplies for most of the projects as guided by the project’s producer.
  • Coordinate the restock for all RWS experiences, including adding returned items to our digital inventory, photographing, repairing and restocking all returned items.
  • Assist in the reconciliation of finances and tracking of budgets for current projects.
  • Coordinate keeping in-house supplies stocked, and all tools in safe working order.

Qualifications

  • Bachelor’s degree in Design, Technical Theatre, Theatrical Production, related field or 3-5 years professional experience
  • 3-5 years of relevant experience in project management, props or scenic shop, operations management, theatrical design, or a combination is required.
  • Required: Valid drivers license
  • OSHA safety certification helpful but not required.

A valid passport for the duration of employment for all travel-related roles. Proof of vaccination against COVID-19 (or proof of exemption) will be required.

  • Resident: Team members who are expected to perform their job in the RWS New York City headquarters due to the nature of their primary duties and responsibilities.

Salary: $58,500 annual exempt salary
