Reporting directly to the VP of Finance, the role of Coordinator, Finance responsibilities include:

Roles and Responsibilities:
  • Assist in processing invoices, ensuring accuracy, proper coding, and approvals using AP automation tools like Bill.com.
  • Support weekly and ad hoc payment runs, ensuring timely and accurate vendor payments.
  • Maintain vendor records and resolve any discrepancies or issues.
  • Support biweekly payroll processing for a diverse workforce, including performers and seasonal employees.
  • Import payroll data into AP software and reconcile discrepancies as needed.
  • Collaborate with the payroll team to onboard new employees and ensure payroll documentation is accurate and complete.
  • Manage the full AR cycle, including invoicing, collections, and reconciliation processes.
  • Generate and send out invoices to customers accurately and promptly.
  • Monitor accounts receivable aging and follow up on overdue accounts to ensure timely payments.
  • Collaborate with project managers to resolve billing discrepancies and customer inquiries promptly.
  • Maintain accurate customer records and ensure compliance with AR policies and procedures.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Provide administrative support to the finance department as needed.
  • Participate in special projects and initiatives to support departmental goals.

Qualifications:
  • Bachelor’s degree in accounting, Finance, or related field preferred.
  • 0-2 years of experience in Accounts Payable, payroll processing, and Accounts Receivable. (if 0 experience, must have internship experiences completed)
  • Proficiency in accounting software such as NetSuite, and AP automation tools (e.g., Bill.com).
  • Strong Excel skills for data analysis and reporting.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently and in a fast-paced environment.
  • Strong attention to detail with a commitment to accuracy and timelines.
